Job description

Assisting with the Buying management structure, your role is to coordinate, organise and further develop the function of Buying team. Reporting into the Head of Buying, you will provide support to the leadership team including the Buying Director, Business Development Director, Head of Beauty & Head of Traded. Alongside this, you will maintain key trackers, calendars and dashboards; ensure data accuracy; and coordinate process updates that enable efficient decision making across the team. Excel and SAP reporting are at heart of your role and a strong understanding of both programs is beneficial.

Length of contract: Initially 12 Months with potential opportunities to extend/remain.

Key Responsibilities 

  • Maintain and produce daily/monthly/quarterly reports: covering price changes, stockdump/admin issues, product source type updates, oversold and overdue delivery checks, short dated and clearance reviews, compliance and restriction reporting (Gcodes, Web restricted and Amazon restricted), as well as broader analytical reporting such as product source type sales and stock holding, bulk stock lists, customer pricing comparisons, forecasting templates and general adhoc reporting.
  • Systems & data: pull reports from SAP; support SAP/SQL transition activities and related project work; raise ClickUp requests for issues or development needs.
  • Assistant Buyer/Buyer Performance Analysis: Produce all Assistant Buyer performance reporting, including AB targets, KPIs, bonus cycle analysis, monthly AB call reviews and progress tracking, alongside supporting People related reporting duties such as onboarding and induction coordination.
  • Reallocations & targets: pull reallocation reports for management and make amendments with other relevant departments. Update Buyer Targets and upload confirmed targets to Portal; maintain the Buying Team Summary after reallocations/team changes.
  • Supplier/brand assets: maintain Convenience Pricefile; update Distribution Brand Matrix; update Supplier Dreamlist ahead of review meetings.
  • Category Management calendar: create, communicate, process updates and reminders.
  • Spring Fair picklist: build from full stock dump aligned to prior formats.
  • Brand Distribution calendar: create and coordinate updates with Buyers.
  • Maintain Supplier Marketing Funding tracker and communications (review options, confirm funding, share updates with Finance).
  • Update Supplier Overriders Tracker at agreement and payment.
  • Assistant Buyer Cover: Provide cover for Assistant Buyers when required to support workflow continuity.
  • Holiday / WFH Approvals: manage departmental leave requests and organise cover plans for periods of leave.
  • Create and organise training schedules and sessions: for new and developing members of staff.
  • Adhoc System / Reporting: requests from Buyers and Management completed in good time with accuracy.

  • Demonstrates good team work ethic, being flexible to support team requirements.
  • Proactive in using initiative; demonstrating a willingness to learn and develop skills to maintain reputation as a department / company.
